The position shall cover the following areas:
The Executive Assistant provides high-level, confidential administrative support. Duties entail clerical, administrative and project-based, arranging meetings, handling information requests, preparing reports and correspondence.
Job Requirements/Specifications
Education:
· Bachelor’s degree in Business Administration or related field.
· Advanced proficiency with Microsoft Office Suite.
Experience: Minimum of three (3) years’ experience as an Executive or Personal Assistant.
Responsibilities (include but not limited to):
Confidential administrative support
1. Manage the CEO’s calendar and schedule appointments.
2. Screen calls and respond to emails and inquiries.
3. Organize and coordinate internal and external meetings, including travel arrangements.
4. Prepare reports, presentations, and correspondence for the CEO.
5. Proofread and edit documents as needed.
6. Maintain confidentiality and exercise discretion in handling sensitive information.
7. Perform additional administrative duties as assigned.
Clerical and project-based
1. Prepare letters and do follow up.
2.Take notes during meetings, prepare reports and follow up with Facility manager.
3. Liaise with staff, clients, etc.
4. Answer calls and handle queries
5. Book meetings
6. Write minutes
7.Take dictation
8.Documentation creation, organization, preparation and circulation electronically and in printed form.
9. External and internal client follow up on previously requested appointments, tasks, meetings etc.
10.Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
11.Prioritization of email calendar and project daily.
