The Marketing Administrative Assistant will serve an important role both internally and externally as a liaison, information source and key point of contact. Provides high-level, confidential administrative support to the appropriate persons. Duties entail clerical, administrative and project-based, arranging meetings, handling information requests, preparing reports and correspondence.    

Requirements

Education:  

  • Must have 5 CXC subjects with passes in English and Math

  • Knowledge of word processing, databases and spreadsheets.

  • A Degree/Diploma in the related field will be considered an asset.

Experience:

Minimum 1 year work experience (preferably in executive/administrative support in PR and/or Marketing field).

Experience creating deliverables for internal and external audiences (Using Power Point, Photoshop, etc.)

Essential Skills:

  • Attention detail and prioritization

  • Excellent organizational and communication skills

  • Preferably in secretarial & personal assistant or equivalent

  • Able to organize, prioritize and coordinate multiple tasks under daily deadlines

  • Capable of taking direction from more than one supervisor/manager and company executive

  • Must be available and willing to work offsite

  • Excellent organizational skills (both written and verbal) and a great sense of flexibility is required.

  • Proactive thinking and problem solving and go above and beyond the call of duty.

  • Proven experience managing multiple, competing priorities.

  • Discretion with sensitive and confidential information and materials.
  • Ability to work independently and autonomously.

  • Comfort communicating with senior executive.

  • Ability to multi-task and work in a fast paced and deadline-driven environment.

  • Accessible during non-office work hours including nights and weekends, if necessary.

  • Superlative interpersonal skills: degree of patience and tact. Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds both internally and externally.

Responsibilities

  1. Manage and maintain daily schedule for the Marketing Manager

  2. Manage and organize marketing team meeting, projects and other activities

  3. Lead scheduling meeting and liaise with appropriate contacts to secure times, coordinate meeting and meeting rooms including administering meeting set-up, agendas, notes and calendar invitations

  4. Coordinate internal and external communication and meetings
  5. Screen calls and incoming opportunities/inquiries as relevant

  6. Draft, manage and proofread documents and correspondence

  7. Design and maintain a comprehensive filing system (paper and electronic)

  8. Track and submit department expenses, budget plans, etc. and/or report on a regular basis

  9. Coordinate payment and maintain records/filing for all marketing department invoices, contracts, correspondence, etc.

  10. Maintain department magazine, newspaper and media advertising library

  11. Assist with incoming charity requests; coordinate and facilitate mailings upon approval

  12. Prepare agendas, compile research and data. And help with collateral creating for meetings

  13. Assist in arranging special events, functions, meetings, and launches including the coordination of all logistics

  14. Serve as point person with other Senior leadership across the department and the company

  15. Work closely with the Marketing Manager and other Executive Assistant and coordinators to manage projects, calendars and events when appropriate

  16. Assists with research of issues and initiatives
  17. Orders and maintains supplies for department, makes equipment maintenance requests as needed

  18. Support with managing, organizing and filing ongoing press/media and tri-media coverage
  19. Support with event production administrative needs including developing and maintaining invitation lists and RSVPs
