This fast-paced, highly visible role requires an individual with flexibility, strong business acumen, the ability to attend to details and take effective action without having to know the total picture.


  • High School Diploma or equivalent;

  • At least 3 years of work experience in office administration, business administration or business management;

  • Knowledge of office and administrative practices and principles;

  • Knowledge and skill in accounting and budgeting procedures and techniques;

  • Skill in both verbal and written communication; 

  • Skill in problem solving and decision-making;

  • Strong computer skills; proficient with the Microsoft Suites, specifically Word and Excel;

  • Excellent verbal, written, and interpersonal communication skills;

  • Ability to work in a highly ambiguous environment;

  • Exceptional time management and organization skills;

  • Professionalism, integrity, and discretion in handling confidential information;

  • Ability to complete a high volume of tasks with minimal direction;

  • A strong desire (and aptitude) for learning; effective questioning;

  • Ability to listen to constructive feedback and adjust as appropriate;

  • A demonstrated ability to respond effectively to changing workloads and priorities;

  • Positive, proactive and able to consistently exercise great judgment; and

  • Ability to handle administrative details independently, while keeping team members adequately informed.


  • Maintain and reconcile budgets for various accounts;

  • Advise and/or determine which expenditures are within the budget guidelines;

  • Inform management of irregularities and proceeds with corrective action;

  • Manage office petty cash;

  • Answer and direct phone calls;

  • Organize and schedule meetings and appointments;

  • Manage staff appointments;

  • Plan meetings and take accurate and detailed minutes;

  • Update and maintain office policies and procedures;

  • Order office supplies and research new deals and suppliers;

  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies;

  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques;

  • Provide general support to visitors;

  • Reply to email, telephone or face to face enquiries;

  • Provide information by answering questions and requests;

  • Develop and update administrative systems to make them more efficient;

  • Open, sort and distribute incoming correspondence;

  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions;

  • Organise travel arrangements for management;

  • Write and distribute email, correspondence memos, letters, and forms;

  • Assist in the preparation of regularly scheduled reports;

  • Develop and maintain an electronic and hard copy filing system;

  • Maintain client/customer lists;

  • Handle sensitive information in a confidential manner; and

  • Perform data entry and scan documents.
