Description

The Billing Clerk is a key figure within the Guyana Operations organization, primarily responsible for generating invoices and account statements, and ensuring that the billing operations are conducted in an efficient, accurate, and timely manner. This role requires strong attention to detail, excellent organizational skills, and the ability to handle multiple tasks simultaneously.

Requirements

  • High school diploma required; associate degree in accounting, finance, or related field preferred.

  • Previous experience in billing, accounts receivable, or a similar role is highly desirable.

  • Strong mathematical and analytical skills to ensure billing accuracy.

  • Proficiency with billing software and Microsoft Office Suite, particularly Excel.

  • Excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment.

  • Strong communication skills, both written and verbal, for effective interaction with customers and internal teams.

  • Detail-oriented with a high degree of accuracy in handling financial data.

    Work Environment:

    Billing Clerks typically work in an office setting and spend a significant amount of time using computers and other office equipment. The role may require occasional long hours during peak billing periods or financial close cycles.

Responsibilities

Invoice Generation: Prepare and issue invoices and credit memos to customers for goods delivered or services rendered, ensuring accuracy in billing details such as amounts, account numbers, and product or service descriptions.

Account Reconciliation: Perform account reconciliations to verify that all payments are accounted for and properly posted. Address and resolve discrepancies in billing and account statements.

Customer Service: Serve as a point of contact for customer inquiries regarding billing issues, account balances, and payment arrangements. Ensure customer satisfaction by providing timely and accurate responses.

Record Keeping: Maintain organized records of all billing documents, payment receipts, and customer correspondence. Ensure compliance with company policies and regulatory requirements.

Financial Reporting: Assist in preparing periodic financial reports related to billing activity, aged receivables, and cash receipts. Provide data to support audits and financial analysis.

Collaboration: Work closely with the sales, customer service, and shipping departments to ensure billing accuracy and to resolve any issues that may arise.

Software Proficiency: Utilize specialized billing software to create invoices, track payments, and generate reports. Stay updated on new features and best practices.
